Privacy Policy

This policy explains what information Hire Up Level collects from employers who contact us and from candidates who go through a hiring process we run, why we collect it, who we share it with, and the choices you have. We have written it in plain language rather than legal shorthand.

1. Who we are and who this covers

Hire Up Level is a managed recruiting service operated by AI Legacy Partners LLC, an Oregon limited liability company. In this policy, "we", "us", and "our" mean AI Legacy Partners LLC.

This policy covers two groups of people, and different parts apply to each:

  • Employers and prospective clients who visit this site or book a call with us. Sections 2 through 5 and 8 through 15 apply to you.
  • Candidates who apply for, are screened for, or interview for a role we are filling on behalf of a client. Sections 6 and 7 apply to you, along with sections 8 through 15.

2. Information employers give us

When you book a call through our scheduler, or otherwise get in touch, we collect what you choose to provide. That typically includes your name, your email address, your phone number, your company, your role, details about the position you are trying to fill, and anything else you write in a form field or message.

Payment information

If you become a client, we take payment through Stripe, an independent payment processor. Stripe collects your card or bank details directly and processes them under its own terms and privacy policy. We receive a confirmation, the amount, the date, and the last four digits of the card. We never see or store your full card number. We keep invoices and payment records for as long as tax and accounting law requires.

3. Information collected automatically on this site

  • IP address and the approximate location derived from it
  • Browser type, device type, and operating system
  • Pages viewed, time on page, and the link or advertisement that brought you here
  • Whether you played the demo video and how much of it you watched

4. Cookies and tracking technologies

We use cookies and similar technologies, including pixels and tags placed by the services below. Some are necessary for the site to work. Others tell us what is working and let us reach people who may want what we do.

Analytics

We use Google Analytics to understand how visitors find and use this site. You can opt out across all websites with the Google Analytics opt-out browser add-on.

Advertising

We use the Meta pixel (Facebook and Instagram) and Google Ads tags to measure whether an advertisement led to a booking, and to show advertisements to people who have visited this site or who resemble our audience. You can adjust what these companies show you in your Meta ad preferences and Google ad settings.

Booking and client records

Our scheduler and client records run on a customer relationship platform we license, which stores what you submit and sets the cookies its booking widget needs.

Your browser controls

You can block or delete cookies in your browser settings. Blocking some will not stop you reading this site, but the booking widget may not work. We honor Global Privacy Control signals where the law requires it.

5. How we use employer information

  • To schedule, prepare for, and follow up on calls with you
  • To provide recruiting services if you become a client
  • To respond to questions and send information you asked for
  • To send occasional messages about our services, which you can stop at any time
  • To measure and improve our marketing, our site, and our offer
  • To keep records, meet legal obligations, and protect against fraud or misuse

6. Candidate information

When we run a hiring process for a client, we collect and process information about candidates. Depending on the role and the client's requirements, this can include:

  • Name, email address, phone number, and location
  • Resume or CV, work history, education, skills, and certifications
  • Answers to screening and interview questions
  • Audio and video recordings of on-demand or live interviews, and transcripts of them
  • Assessment or scoring output generated during screening
  • Work authorization status, salary expectations, and availability
  • Information from reference checks, background checks, or skills assessments, where the client's process includes them and where the law permits
  • Equal opportunity information such as gender, ethnicity, veteran status, or disability status, where an employer is required or chooses to monitor it

Equal opportunity information is handled separately. Where it is collected, it is voluntary, it is kept apart from the information used to evaluate you, and it is used only in aggregate for compliance reporting. It does not affect whether you advance.

Screening and interviews take place on a specialist interview and assessment platform that we license and operate under the Hire Up Level brand. That provider processes candidate information on our instructions and on the instructions of the employer, under its own security and confidentiality obligations. Candidates may request the identity of that provider at any time by writing to us.

7. Automated processing and human review

Our screening process uses software, including artificial intelligence, to organize, transcribe, summarize, and score candidate responses. No candidate is advanced or declined by software alone. A person reviews every decision, and the final hiring decision always belongs to the employer, not to us and not to a machine.

If you are a candidate and want to know how automated tools were used in your process, or want a decision reviewed by a person, write to [email protected] and we will respond.

Some jurisdictions regulate automated employment decision tools and require notice, bias auditing, or the option of an alternative process. Where those rules apply to a role, we work with the employer to meet them.

Who controls your candidate information. The employer decides what happens with your application and how long it is kept. We act on their instructions. If you want your information corrected or deleted, contact the employer you applied to first. Write to us if you cannot reach them or if you would like our help, and we will assist.

8. Who we share information with

We do not sell personal information for money. We share it only in these situations:

  • Service providers who run parts of our operation, including our interview and assessment platform, our scheduling and client records platform, our email provider, our payment processor, and our website host. They may use the information only to provide services to us.
  • Clients, where you are a candidate and we are running their hiring process.
  • Advertising and analytics platforms, as described in section 4. Some privacy laws treat this kind of sharing as a "sale" or "share" even when no money changes hands. You can opt out by writing to us or by using the browser controls above. We do not share candidate information with advertising platforms.
  • Legal reasons, when we must respond to lawful requests, enforce our agreements, or protect our rights, our people, or the public.
  • A business transfer, if the business is sold or merged, in which case this policy continues to apply until it is replaced.

We do not sell or share mobile phone numbers or text message consent data with third parties for their own marketing.

9. How long we keep information

We keep employer contact and engagement records for as long as we have a relationship with you and for a reasonable period afterward, so we can answer questions, honor commitments, and meet tax and legal obligations. Candidate records are kept for the period the employer instructs, or as long as applicable recordkeeping law requires, whichever is longer. When we delete information, residual copies may remain in backups for a limited time before those backups are overwritten.

10. Your choices and rights

Depending on where you live, you may have the right to know what personal information we hold about you, get a copy of it, correct it, ask us to delete it, opt out of targeted advertising or of the sharing described in section 4, limit the use of sensitive information, and be free from discrimination for exercising any of these rights.

Residents of Oregon, California, and other states with consumer privacy laws, as well as people in the United Kingdom and European Economic Area, have some or all of these rights under their own laws. To exercise any of them, write to [email protected] and tell us what you want. We will verify who you are before we act, and we will respond within the time your law allows. You may use an authorized agent, and you may appeal if we decline.

11. Marketing messages

If we email you about our services, every message includes an unsubscribe link. If you give us a phone number and agree to texts, reply STOP to end them. Opting out of marketing does not stop messages about a call you have booked, an application you have submitted, or work we are doing for you.

12. Security

We use reasonable administrative, technical, and physical safeguards to protect the information we hold, and we work with established vendors who do the same. No method of transmission or storage is perfectly secure, so we cannot promise absolute security.

13. Age

This site and our services are for adults. They are not directed to anyone under 18, and we do not knowingly collect personal information from anyone under 18. If you believe a minor has given us information, write to us and we will delete it.

14. Links to other sites

Our site may link to services we do not control. Their privacy practices are their own, and we encourage you to read their policies before giving them information.

15. Changes, and how to reach us

We may update this policy as our business or the law changes. When we do, we will change the date at the top of this page, and we will make significant changes clear on the site.
